Managing prompts

Learn the difference between pausing, archiving, and deleting prompts, and how plan limits apply.

Once you've added prompts, you'll want to edit them, retire the ones that stopped being useful, and stay inside your plan's limit as your tracking needs change. Here's how each of those works.

Editing a prompt

You can change a prompt's text, Topic, or Search Intent at any time. If you need to update several prompts at once, for example re-tagging a batch of prompts under a new Topic, bulk reassignment lets you select multiple prompts and change their Topic or Intent together instead of editing one at a time.

Pause vs. archive vs. delete

These three do different things, so it's worth knowing which one you actually want:

  • Pause stops a prompt from being analyzed going forward, and it's excluded from your visibility score while paused. Use this when you want to keep the prompt on file but stop spending tracking budget on it for now.
  • Archive removes a prompt from your active list but keeps it recoverable. If you archive something by mistake, or decide you want it back later, you can restore it.
  • Delete removes a prompt everywhere. This isn't the same as archiving, so only delete a prompt if you're sure you won't want its history back.

Your plan sets a maximum number of prompts per brand:

What happens at the cap

You can't accidentally go over your limit. If you try to add a prompt while you're already at your plan's cap, the request is blocked with a message telling you you've hit your limit and to upgrade your plan or delete existing prompts to make room. This is enforced on the backend, not just hidden in the interface, so there's no way to sneak past it.

What happens after a downgrade

If you downgrade to a plan with a lower prompt limit than what you're currently using, none of your existing prompts get deleted or shut off automatically. They keep running.
